Privacy Policy

This Privacy Policy explains how ARS Accounting, also referred to as ARS CFO Concierge, ARS, we, us, or our, collects, uses, discloses, retains, and protects information in connection with the ARS CFO Concierge software platform, dashboards, websites, applications, support, and integrations, including connections to QuickBooks Online.

This Policy applies to business customers, authorized users, prospective customers, and other people who interact with the Platform. A business customer controls which users may access its account and which business data is connected. This Policy should be read with the ARS CFO Concierge Terms of Service and any applicable engagement agreement or data-processing addendum.

1 Information We Collect

Customer contentFiles, invoices, notes, comments, approval records, budgets, assumptions, mappings, classifications, messages, and other content submitted to or created within the Platform.
Subscription and billing dataPlan, order, billing contact, invoice, payment status, and transaction details. Payment-card data may be handled directly by our payment processor rather than stored by ARS.
Usage and device dataIP address, device and browser type, operating system, login time, pages and features used, actions taken, referring pages, approximate location derived from IP, diagnostic data, and audit logs.
Support and communicationsQuestions, support requests, meeting notes, feedback, emails, call details, and information you provide when communicating with us.
Derived and analytical dataMetrics, ratios, benchmarks, classifications, forecasts, anomaly indicators, summaries, usage statistics, and other information derived from data processed through the Platform.

2 How We Collect Information

We collect information:

  • directly from you or your organization when an account is created, configured, or used;
  • from an account administrator, accountant, advisor, employee, or other authorized user;
  • from Intuit when you authorize a QuickBooks Online connection;
  • from other services you or the Customer choose to connect;
  • automatically through logs, cookies, and similar technologies; and
  • from service providers, referral sources, and public business information where permitted by law.

3 QuickBooks and Intuit Data

When you connect a QuickBooks Online company, Intuit presents the authorization and permissions requested. If you approve, Intuit provides the Platform with access tokens and permitted data through its application programming interfaces. We do not receive your Intuit password through the standard authorization process. We use the connection to synchronize data, provide requested features, maintain the integration, troubleshoot, secure the account, and follow your instructions.

The data available to us depends on the scopes approved, the QuickBooks product, the Customer configuration, and features enabled. We do not use connected QuickBooks data for unrelated advertising, sell it, or disclose it to data brokers. We do not intentionally use identifiable connected QuickBooks data to train public or general-purpose artificial-intelligence models.

You may disconnect QuickBooks through the Platform, where available, or through Intuit. Disconnecting revokes future access but does not necessarily delete information already imported. You may request deletion as explained in Section 12.

4 How We Use Information

We use information to:

  • create, authenticate, administer, and secure accounts;
  • connect to QuickBooks Online and other services at the Customer’s direction;
  • synchronize, organize, classify, reconcile, analyze, and display business information;
  • generate dashboards, reports, budgets, forecasts, benchmarks, alerts, and insights;
  • support role-based access, approvals, workflows, document exchange, and audit trails;
  • provide support, implementation, onboarding, training, and professional services under a separate engagement;
  • process subscriptions, billing, and account administration;
  • communicate service notices, security messages, updates, and requested marketing communications;
  • detect, investigate, and prevent fraud, abuse, security incidents, and violations of our agreements;
  • debug, maintain, measure, and improve the Platform;
  • comply with law, enforce agreements, establish or defend legal claims, and protect rights and safety; and
  • create aggregated or deidentified information for analytics, benchmarking, security, and product improvement.

5 Automated Analytics and Artificial Intelligence

The Platform may use rules, automation, statistical methods, machine learning, or artificial intelligence to produce classifications, summaries, forecasts, anomaly indicators, recommendations, or other decision-support outputs. These tools process Customer Data to provide the features requested by the Customer. Outputs may be inaccurate or incomplete and should be reviewed against source records and professional judgment.

We may use service providers to support automated features under contractual restrictions appropriate to the service. We do not authorize those providers to use identifiable Customer Data for their independent advertising. We do not intentionally submit identifiable connected QuickBooks data for training public or general-purpose models. The Platform is not designed to make solely automated decisions that produce legal or similarly significant effects on an individual.

6 How We Disclose Information

We may disclose information in the following circumstances:

  • Customer administrators and authorized users. Information is available according to account roles, permissions, and Customer instructions.
  • Service providers. Cloud hosting, data storage, security, support, analytics, communications, payment, integration, and professional service providers may process information for us under contractual restrictions.
  • Connected services. We exchange information with Intuit and other providers when necessary to maintain an integration or carry out the Customer’s instructions.
  • Professional advisors. Lawyers, accountants, auditors, insurers, and consultants may receive information when reasonably necessary and subject to confidentiality obligations.
  • Legal and safety. We may disclose information to comply with law or valid legal process; investigate fraud or security issues; enforce agreements; or protect the rights, property, and safety of ARS, customers, users, or others.
  • Business transactions. Information may transfer in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets, subject to appropriate confidentiality and legal requirements.
  • At your direction. We disclose information when the Customer or authorized user instructs us or provides consent.

7 No Sale of Personal Information

ARS does not sell personal information for money. ARS does not use or disclose connected QuickBooks data for cross-context behavioral advertising or targeted advertising. If our practices change in a way that creates an opt-out right under applicable law, we will update this Policy and provide an appropriate choice before applying the new practice as required.

8 Cookies and Similar Technologies

We may use essential cookies and similar technologies to authenticate users, maintain sessions, remember preferences, prevent fraud, and operate the Platform. We may use limited analytics technologies to understand feature performance and improve the Platform. Where required, we will request consent or provide controls. Browser settings may block cookies, but essential features may not work correctly.

9 Data Security

We maintain reasonable administrative, technical, physical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. Safeguards may include access controls, authentication, encryption, monitoring, logging, vendor review, incident-response procedures, and personnel confidentiality obligations, as appropriate to the data and service.

No transmission or storage system is completely secure. You are responsible for protecting credentials, devices, exports, and local copies; selecting appropriate user permissions; and promptly reporting suspected unauthorized activity to info@arsaccounting.com.

10 Data Location and Transfers

ARS is based in the United States. We and our service providers may process information in the United States and other locations where we or they operate. Where applicable law requires a transfer mechanism or additional safeguard, we will use an appropriate mechanism.

11 Data Retention

We retain information for as long as reasonably necessary to provide and secure the Platform, maintain business and tax records, comply with legal and contractual duties, resolve disputes, enforce agreements, and protect against fraud or abuse. Retention depends on the data type, account status, legal requirements, backup cycles, and the Customer’s instructions.

Unless a longer period is required by law or a written agreement, our operational target is to delete or deidentify Customer Data from active production systems within 30 days after a verified deletion request or termination of the Platform account. Residual copies may remain in protected backups for up to 90 additional days and are not used for ordinary business purposes. We may retain limited records of the request, transaction, consent, security event, or legal obligation.

12 Access Correction Export and Deletion

A Customer administrator may be able to access, correct, export, or delete certain information through the Platform. You may also email info@arsaccounting.com to request access, correction, export, deletion, restriction, or disconnection. We may need to verify your identity and authority before acting.

If your information is controlled by a business customer, we may direct your request to that customer or act on its instructions. We may deny or limit a request when permitted or required by law, including to protect another person’s rights, maintain security, preserve evidence, comply with professional or recordkeeping duties, complete a transaction, or establish or defend legal claims.

13 United States State Privacy Rights

Depending on your residence and applicable law, you may have rights to know or access personal information, correct inaccuracies, delete information, obtain a portable copy, or opt out of certain sales, sharing, targeted advertising, or profiling. You may also have the right to appeal a denied request and to be free from unlawful discrimination for exercising privacy rights.

Submit a request or appeal to info@arsaccounting.com. State your name, organization, relationship to the Platform, state of residence, and request. An authorized agent may submit a request where permitted, but we may require proof of authority and verification. We will respond within the period required by applicable law.

ARS does not sell personal information for money and does not use connected QuickBooks data for targeted advertising. We do not knowingly process sensitive personal information for purposes requiring a right to limit without providing the required notice and choice.

14 Communications

We may send transactional messages about accounts, security, support, billing, integrations, and service changes. These messages are necessary to provide the Platform and may continue while the account is active. You may opt out of promotional emails using the unsubscribe link or by contacting us, but opting out does not stop necessary service communications.

15 Children

The Platform is intended for business users age 18 or older and is not directed to children. We do not knowingly collect personal information directly from children under 13. If you believe a child provided information directly to us without appropriate authorization, contact us so we can investigate and delete it where required.

16 Third Party Services and Links

Intuit, QuickBooks, and other connected services have their own privacy practices. This Policy governs ARS processing, not the independent practices of another provider. Review the privacy notices of each service you connect or visit. We are not responsible for a third party’s privacy, security, or content.

17 Professional Services and Other Notices

If ARS provides accounting, bookkeeping, tax, bill-pay, consulting, or CFO services under a separate engagement, additional confidentiality, retention, professional, or privacy obligations may apply. The applicable engagement agreement and any legally required privacy notice govern those services to the extent they impose additional or different requirements.

18 Changes to This Policy

We may update this Policy as the Platform, integrations, or law changes. We will post the revised Policy with an updated date. If a change materially affects how we use previously collected information, we will provide additional notice or obtain consent when required by law.
